Phantom Regiment is seeking a Finance & Fundraising Specialist to ensure the quality, accuracy, and synchronicity of Phantom Regiment’s data across programs and business units. The role additionally ensures timely and accurate customer merchandise fulfillment and provides administrative and event support in collaboration with other office staff.


  • Financial and fundraising data entry and reconciliation in business platforms.
  • Donor recognition support, including gift acknowledgment, reporting, and oversight of campaign benefits.
  • Vendor account management, including maintaining up-to-date tax forms and other required documentation.
  • Banking support, including deposit preparation and physical bank deposits
  • Phone system management.
  • Support for merchandise team including shipping.
  • Support for local events, as needed.
  • Other administrative, fundraising, and financial support as needed.


  • At least 3 years of experience in a professional work environment performing similar duties.
  • At least 1 year of experience in nonprofit management. Performing arts education experience or drum corps experience is desirable. 
  • Comfortable working with Google Office Suite, Slack, and online data management applications. Experience in business apps such as Quickbooks Online and Salesforce is a plus, but not required. Will train.
  • Attention to detail, with particular focus on accuracy.
  • Previous experience working with volunteers is a plus.
  • Illinois driver’s license and reliable transportation are required.
  • Ability to manage multiple projects simultaneously.
  • Strong time management, interpersonal, and organizational skills.
  • Results-oriented team player with the ability to take initiative


  • This is a part-time position with occasional periods of intense work to support local programs and fundraising events. Occasional evenings and weekends are required.
  • This position will work on-site from Phantom Regiment’s corporate location in Rockford, Illinois, and be scheduled during regular business hours (M-F 8:00 AM to 5:00 pm)


  • Compensation is commensurate with experience.
  • Benefits and Simple IRA are not available for part-time employees. Should the hours required to fill this role exceed part-time status, benefits are available for employees working 30 hours per week, regularly.


  • Ability to operate a computer keyboard and mouse, and handle other office equipment
  • Ability to sit for long periods
  • Ability to lift and carry up to 20 lbs
